This Privacy Policy is based on the General Data Protection Regulation (GDPR) and explains which personal data is collected in relation to the organization of the Rotaract European Convention EUCO26 in Opatija, Croatia, April 29 – May 3, 2026, how we process, use and protect your personal data, for what purposes we use them as well as your rights related to the protection of your privacy and your personal data.
THE FUNDAMENTAL PRINCIPLE OF OUR ACTIVITIES IS PRIVACY AND DATA PROTECTION
The privacy of individuals and the protection of personal data are fundamental human rights. We at the Rotaract Club Rijeka Novi Val, Association EUCO Opatija and the Rotary District 1913 have a duty to take care of the privacy of individuals whose personal data we process and store. We ensure the personal data are collected and processed only when necessary.
The Rotaract Club Rijeka Novi Val and the Association EUCO Opatija as joint Data Controllers adhere to the following principles with the aim of protecting the privacy and personal data of all participants and all individuals attending to the Conference:

WHY AND HOW WE COLLECT YOU DATA
We collect personal data directly from the participants of the Rotaract European Convention EUCO26, in Opatija, Croatia, April 29 – May 3, 2026, including the members of Rotaract and Rotary clubs and our special guests for the purposes of participants registration, accommodation booking and fees collection, retained no longer than is necessary for the purposes for which the personal data are processed.
For the aforementioned purposes, we collect from participants the necessary set of personal data (first name, last name, email address, telephone number, address and country, date of birth, Rotary ID, Rotary District, Rotaract or Rotary club), as well as any information on dietary or health-related restrictions that you voluntarily disclose to us, in accordance with Article 9(2) of the GDPR, for the purpose of protecting your health and your vital interests.
Some personal data will be shared with the selected hotel for the purpose of room reservations and the allocation of participants to rooms.

The Ticket Tailor platform is acting as the Data Processor and ensuring a high level of protection of your personal data on our behalf in line with the GDPR Art 28 www.tickettailor.com/legal/privacy-policy. The Ticket Tailor platform processes the personal data on our behalf outside EU/EEA in United Kingdom as the country recognized by the European Commission offering an adequate level of data protection https://commission.europa.eu/law/law-topic/data-protection/international-dimension-data-protection/adequacy-decisions_en.
According to the E.R.I.C. Statute, the Code of Policies, and the Code of Policies of Rotaract Europe ASBL, the Host Organizing Committee is obliged to transfer to the E.R.I.C. bank account the fees included in the EUCO attendees’ registration fees and to provide E.R.I.C. with a file containing all participants’ data. The transfer of such data is also necessary for the verification of attendees. In accordance with these obligations, the organizer of EUCO 2026 will, on the basis of its legitimate interest pursuant to Article 6(1)(f) GDPR, transfer the attendees’ information to E.R.I.C., in particular package details and relevant personal data.
For the purpose of informing the wider Rotaract and Rotary community and the public, and in accordance with the legitimate interest under Article 6(1)(f) of the GDPR, we will collect photos and videos from the convention and publish them on the Facebook pages of Rotaract Europe and Rotaract Club Rijeka Novi Val, on the Instagram profiles of Rotaract Europe, Rotaract Club Rijeka Novi Val and EUCO 2026 Opatija, on the websites of Rotary District 1913 (rotary.hr), the European Rotaract Information Centre (rotaracteurope.eu), the official convention website (euco2026opatija.com) and in the media covering this major event.
Cancellation, withdrawal and refunds
1. Purchases of Tickets for the Event are final and non-refundable, except where
expressly provided otherwise in these Terms.
2. Tickets are personal and non-transferable. They may not be resold, transferred,
or assigned to another person without the prior written consent of the Organiser.
The Organiser may approve a transfer only under the following conditions:
a. The new Participant is of the same sex as the original ticket holder;
b. The new Participant is a member of Rotaract or Rotary;
c. The Organiser (HOC team) must be informed of the intended transfer in
advance and must provide its prior written consent before the transfer
can take effect; and
d. Before the Organiser can give consent, the original ticket holder must
provide all information and documentation required for the new
Participant, equivalent to the information originally requested during the
ticket purchase process.
Ticket transfers must be requested no later than 20 April 2026. After this date,
transfers will in principle no longer be possible due to logistical arrangements
with third parties (e.g. accommodation, gala venue, catering, activities). The
Organiser may, at its sole discretion, consider exceptions but makes no
guarantees that such requests can be granted.
Any unauthorised transfer, resale, or attempted resale will render the Ticket void
without refund, and the Organiser reserves the right to deny entry to the holder.
3. Notwithstanding the above, the Organiser may, at its sole discretion, offer
(partial) refunds or the possibility of name changes or Ticket transfers. Any such
goodwill refund or transfer option does not constitute a legal right of withdrawal.
4. If the Participant transfers or resells the Participant’s Ticket following the written
consent of the Organiser to another person, the Participant ensures the
transferee accepts these Terms and the Participant remains fully responsible for
compliance.
